Job Summary

We are seeking a highly competent, organized, and proactive Receptionist & Office Administrator to manage front-office operations and provide comprehensive administrative support at our Head Office in Tororo. This role is central to the daily functioning of the organization and requires a candidate with strong administrative judgment, excellent communication skills, and the ability to manage multiple responsibilities with minimal supervision.

Key Responsibilities

The Receptionist & Office Administrator will:

  • Serve as the first point of contact for all visitors, partners, and callers, ensuring a professional and welcoming office environment
  • Manage incoming and outgoing correspondence (emails, letters, phone calls) and maintain accurate filing systems (physical and electronic)
  • Coordinate office schedules, meetings, appointments, and logistics, including preparation of meeting minutes and follow-ups
  • Maintain office supplies, equipment, and assets, ensuring efficient procurement and inventory control
  • Support basic finance and compliance tasks such as payment requisitions, staff attendance records, and documentation for audits
  • Assist program and management staff with administrative reporting, documentation, and data entry as required
  • Ensure confidentiality, data protection, and adherence to organizational policies and donor requirements
  • Perform any other administrative duties as assigned in line with organizational needs

Required Qualifications and Skills

  • Minimum of a Diploma in Office Administration, Secretarial Studies, Business Administration, or a related field
  • At least 3 years of proven experience in a similar receptionist or office administration role, preferably within an NGO or donor-funded environment
  • High proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and basic office IT systems
  • Strong written and verbal communication skills in English; knowledge of local languages spoken in Tororo is an added advantage
  • Demonstrated ability to multitask, prioritize workload, and work under minimal supervision
  • Excellent interpersonal skills, professional demeanor, and strong attention to detail
